From Fabric Shortlist to Order Confirmation: What to Recheck

A saved shortlist records interest. An enquiry asks questions. An order needs an agreed set of details. Before moving from discussion to a purchase, bring the selected version into one clear record so that alternatives, estimates and unanswered questions are not accidentally treated as accepted terms.

Remove unchosen alternatives from the final version

Identify the references and colours actually selected and label other options as unselected. Include any approved sample or image reference. If one item was replaced during the conversation, make that change explicit rather than expecting both parties to reconstruct the final choice from several earlier messages.

Verify every quantity and unit

Check each line separately and review the total only after the units are clear. For wax, distinguish pieces from yards; for other categories, use the unit confirmed for that item. Mark estimates that have not become final quantities. A large combined total should not hide an incorrect count or colour allocation.

Bring open conditions into view

List any unresolved specification, availability, sampling, packing, destination or timing question that matters to the purchase. Request a direct confirmation rather than filling gaps from assumptions. Do not treat a preferred date as a promised delivery date or a warehouse photograph as a reserved quantity.

Keep the agreed record available for follow-up

Retain the final response and reference details. On this website, preparing a message or opening WhatsApp does not send it, confirm receipt or complete an order. Review and send the enquiry yourself, then establish the actual agreement in the conversation. If an important detail changes, confirm the revised version explicitly.
