Fabric substitutions: compare the differences before saying yes

A similar-looking alternative can solve a sourcing problem, but it may change the garment plan. When a chosen material cannot be confirmed, ask for a proposed substitute under its own reference. Compare the features that matter to your project and approve the exact change before it enters a wholesale order.

Keep both references visible

Place the original requirement and proposed alternative side by side in the enquiry. Include product numbers and labelled images, not only a phrase such as same style. Ask why the alternative is proposed and which original details remain unconfirmed. Do not treat a recommendation as proof that the two materials are equivalent.

Compare the critical properties

Start with the garment's non-negotiable requirements: usable width, colour, decoration placement, sale unit or attachment method. Confirm composition and other specifications separately for the substitute. A shared colour name does not establish the same shade, and a similar motif does not establish the same repeat or scale.

Reopen dependent approvals

If the change affects a lining combination, cutting layout or neckline opening, send that part back to the maker for review. Retain the original sample so the comparison remains clear. An unchanged selling description is not enough to carry forward the old construction or quantity calculation.

Approve with boundaries

Record the substitute reference, accepted differences, revised quantities and the specific order lines it replaces. Ask for an updated confirmation before proceeding. A one-order approval should not become an unrestricted permission to send future alternatives; state whether another approval is required for later substitutions.
