Fabric Sample Inspection Checklist Before a Wholesale Order

A sample review is most useful when it produces a written decision tied to a particular reference. Looking at a swatch without a clear garment brief can leave important questions unanswered. Agree the sampling arrangements with Rose, prepare a checklist in advance and distinguish what you observed from anything that still needs measurement, testing or confirmation.

Identify the sample before comparing it

Record the product code, colour description, receipt date and intended use. Keep the supplier’s reference beside your own notes. If several samples look similar, label them before the review. Confirm whether the sample represents the exact selected option and what will need checking again for the eventual order; one sample does not establish every detail of a later supply.

Review appearance in consistent conditions

Compare the colour and motif under the same lighting and against the intended lining or base material. Check the visible face and reverse where accessible, and record any stains, holes, loose decorative elements or other visible concerns. Photographs of an issue should show both the overall item and the detail so the location and scale are understandable.

Measure what the garment needs

Check available dimensions and ask for the usable width, motif repeat or applique size where relevant. Let the maker assess the drape, transparency and placement for the proposed garment. A small sample may not show a full repeat or the complete border. Ask for the missing information before deciding that the material will fit the cutting plan.

Turn observations into an approval record

Separate accepted points, questions and reasons for rejection. Discuss care and any performance testing needed for the intended use before applying an unconfirmed treatment to the material. A visual review is not a laboratory certificate. Keep the decision with the reference and reconfirm order-specific availability, quantity and terms rather than assuming sample approval automatically creates an order.
